Information on the new and improved PEDR system

We're pleased to announce that the new and improved PEDR system is now live. Access the PEDR system online.

We've been working hard to invest in a better digital offer for our members to provide you with the resources you need to achieve the highest professional standards. 

As part of our improved offer for 2020, our PEDR platform is being digitally transformed, to improve your user experience and to make the process of recording more efficient. 

We've put together a list of FAQ's for student users, Employment Mentors and Professional Studies Advisors to help address any questions you might have about how to prepare for the new platform. 

PEDR student users

Q: How do I log in to the new system?

A: We are creating a new single sign-on via the RIBA website ready for launch.  If you have an existing PEDR account, you need to sign in and you will be able to continue using PEDR.  New students will be guided to the appropriate link. 

Q: If I have incomplete sheets in the old PEDR system, will they be available in the new system?

A: All existing sheets will be carried forward into the new PEDR system.  The new system lists your record sheets by date rather than numbers, but all the information will be retained.  

If you finalise a sheet and notice an error/mistake, our PEDR admin team can still unlock the sheet for you. Please bear in mind this will mean gaining approval from your mentor and PSA again. If an old sheet has missing information and you need to edit and submit the sheet, this can also be unlocked by us. 

Q: What if I am backdating my records and no longer have contact with my employment mentor?

A: PEDR quarterly record sheets should be completed no later than two months after the end of the relevant quarter. If you want to backdate sheets, you should first seek agreement from your Professional Studies Advisor (PSA) that they are able to approve these for you. Then you will need to check that your mentor from the time is able to approve them too.  In the new PEDR system, you will submit your sheets digitally to your mentor and PSA. 

Q: If I am backdating records and need to record project hours on older versions of the RIBA Plan of Work, will this be possible in the new system?

A: If you have already created sheets using the 2005 or 2007 version of the RIBA Plan of Work, this will be available to you in the new system. All other users will use the 2013 Plan of Work, or, in due course, the newly-published 2020 Plan of Work.

Q: How will my employment mentor and PSA approve my sheets in the new system? 

A: The new system features online approval – there’s no further need to print out your sheets to obtain written signatures (though you can still print the sheets if required, for example for your Part 3 submission). You will need to input the email address of your employment mentor and PSA, and then the system generates an email to them, requesting approval of a record sheet. The mentor and subsequently the PSA can access a link to the record sheet and complete their comments and electronic approval, endorsing your experience.

Q: How will I approve my student employee PEDR sheets in the new system?

A: The main change is that there will now be digital approval for mentors (and PSAs). Mentors will be notified via email once their student has submitted a quarterly sheet for their review and will access this via a link. Once reviewed, a student/mentor appraisal meeting should be held; the student will then complete the notes and notify the mentor again via email to seek final approval and digital sign off.


Q: How can I help my employees prepare for the launch?

A: We are encouraging all students with record sheets which are complete but as yet not finalised in the existing system to finalise them as soon as possible, and submit them to you for mentor sign off, then on to their PSA for final approval. This is so that their new PEDR Dashboard is populated with this data.  However, all data will still be migrated to the new system, whether record sheets have been fully completed or not.

Q: How does the new PSA approval process work?

A: PSAs will now be able to review, comment and approve record sheets digitally and the entire PEDR process can now be completed online.  You’ll receive email notification from your students when a record sheet has been submitted, with a unique link to their record sheet and any attachments they have uploaded.

Q: Our university requires students to submit PDFs to us so we can keep accurate records, check they have paid for monitoring etc.  How might the new system affect this?

A: PSAs will be able to download PDFs once they have approved a student’s sheet online. Students will also be able to download PDF copies, so can continue to provide these for any purpose required.

Please ensure you have updated your account details and received sign off on your completed quarterly record sheets if you will need to submit them for an upcoming Part 3 examination between 20 April and 5 May 2020.

The current PEDR website will be shut down from midnight on 19 April, while we change over to our new website. You will therefore be unable to access your sheets on the old website from this date. Upon signing into the new PEDR website, due to launch in early May, all your previously saved information, completed and part-completed sheets and certificates of professional experience will be safely migrated as they are, where you will be able to pick up where you left off and continue the mentor/PSA approval process online.
